Launching an AI-Powered Knowledge Experience for Contractors

Who They Are & Why This Moment Mattered

A large building products manufacturer served contractors who relied on thousands of technical documents, installation guides, specifications, safety details, and compliance resources. Their website was comprehensive but overwhelming. Contractors struggled to find what they needed quickly, especially on job sites where time and clarity mattered most.

Internally, the team sensed a shift in customer expectations. Contractors were adopting mobile tools, AI was becoming part of daily workflows, and competitors were beginning to experiment with smarter support experiences. Leadership realized they needed to modernize how customers accessed information and move beyond simple search tools.

The Real Problem & What Was at Stake

The initial request was to redesign part of the website. But the deeper issues were systemic:

  • •Contractors spent too much time searching for information
  • •Technical documents were hard to navigate, especially under pressure
  • •Customer support absorbed repetitive questions
  • •The business lacked visibility into what customers were struggling with
  • •The existing experience didn't reflect the company's level of expertise or innovation

If nothing changed, the organization risked frustrating its core users, missing signals about intent and product demand, and stagnating while the industry shifted toward intelligent, data-driven support.

Constraints & Starting Point

We began with clear constraints:

  • •A large body of dense, highly technical content
  • •Strict accuracy requirements - answers couldn't be approximate or guessed
  • •No existing AI infrastructure
  • •A desire to test internally before exposing anything to the public
  • •A need to produce tangible results within weeks, not months

How We Approached It

We approached the work as a rapid strategy, design, and prototyping initiative. A small team dove into the manufacturer's content ecosystem, understanding how documents were structured, what contractors searched for most, and how internal teams supported customer inquiries.

AI helped rapidly analyze documents, cluster themes, and explore how different models handled technical prompts. Human judgment focused on experience design, accuracy evaluation, data preparation, and ensuring that the interaction model remained intuitive for contractors with varying levels of technical expertise.

We moved quickly but deliberately, designing a system that respected the nuance of technical content while providing a modern, conversational experience.

What We Did

1

Understand the Ecosystem and Document Structure

We mapped the full library of product documentation and identified patterns in how contractors searched, scanned, and interpreted information. We analyzed help desk logs, common support questions, and situational needs to pinpoint where friction was highest.

2

Define the Intelligent Experience Strategy

We framed the vision for an AI-powered knowledge experience that would allow contractors to ask technical questions in natural language, receive accurate answers tied directly to vetted documents, access source references for compliance and installation needs, and save time on-site by eliminating manual search. We also identified the intent and sentiment data that could feed into CRM systems.

3

Design the Conversational Interface and Architecture

We designed an intuitive interface built around a simple question bar, clear responses, linked citations, related resources, and optional follow-up prompts. We defined what fidelity of answers was acceptable and created a framework for how the system should respond when data was ambiguous or incomplete.

4

Build and Test the AI-Powered Pilot

We built an internal pilot that integrated the manufacturer's technical documents and tested real-world questions contractors typically asked. We ran structured accuracy tests, adjusted prompts and retrieval logic, and refined how the system summarized or cited information. Once validated internally, we iterated toward a public-facing version.

5

Launch the Experience on the Public Website

We supported the rollout, ensuring the public interface was intuitive, the model had appropriate guardrails, and analytics were in place to capture contractor intent, behavior, and sentiment. This data became a new strategic asset for informing product, marketing, and sales decisions.

The Outcome

Before

Contractors waded through thousands of documents, relying heavily on support teams for answers. The manufacturer had little insight into what contractors were searching for or struggling with.

After

A modern, intelligent knowledge experience that allowed contractors to get answers in seconds rather than minutes, reduced repetitive support inquiries, improved customer satisfaction and confidence, created a new stream of intent and behavior data, and positioned the manufacturer as an industry leader in intelligent support. The experience became a key differentiator for the brand.

What Changed Inside the Organization

The engagement reshaped how the manufacturer thought about technical content and customer experience. Teams began to see documentation not as static files, but as a living knowledge system. Product, marketing, and support gained access to real-time insights that previously didn't exist. The organization also developed a clearer roadmap for how AI could enhance other aspects of the contractor experience, from training to troubleshooting to product selection.

Why This Story Matters

Industries built on technical expertise often rely on massive document libraries that are accurate but difficult to navigate. When those libraries become intelligent, companies unlock new value for customers and internal teams. This project shows how a focused strategy and prototype sprint can transform static documentation into a fast, intuitive, AI-driven experience that strengthens loyalty, reduces support demands, and elevates the brand.

Key Takeaways

1

Technical documentation can become a competitive differentiator with AI

2

Intent and sentiment data from search queries is a strategic asset

3

AI experiences require strict accuracy guardrails for technical content

4

Internal pilots build confidence before public launches
